The Office Management team aims to provide all 400+ SumUppers in our Bulgarian offices with the best work environment and implement an outstanding welcoming culture in our company. We are in charge of ensuring structure and order in our offices and our goal is to do so while sharing a positive energy and a good mood with SumUppers and visitors.

ABOUT THE ROLE

As an Office Coordinator at SumUp, you will focus both on the day-to-day administration of our offices, and will take part in/lead local and company-wide projects, including events and initiatives. 

The role is based onsite in our Sofia office.

WHAT YOU'LL DO

Reception desk management:

  • Drive all day-to-day office operations

  • Welcome visitors, guests, couriers at the office

  • Coordinate shipments, deliveries and documentation flow

  • Manage office access and parking service 

  • Welcome new joiners at their first day

  • Support employees with accommodation and other traveling assistance while on business trips

  • Everyday communication with SumUp employees, vendors and partners of the office

Office supplies management:

  • Plan and place orders for office supplies in terms of schedule and budget 

  • Coordinate deliveries and manage all office supplies to be in stock and in order

  • Manage and maintain good relations with office vendors and suppliers

  • Negotiate and manage vendors’ contracts, invoices and payments

Office space management:

  • Create and maintain a nice and well organized office space

  • Oversee and coordinate all office cleaning related topics on daily basis

  • Manage office maintenance and repairs. Initiate and implement work space improvements

  • Administrate office safety and security measures - establish and maintain organization for Fire and Emergency Safety, Access Control and CCTV policies. Ensure compliance with relevant regulations and standards

YOU'LL BE GREAT FOR THIS POSITION IF 

  • You have prior office management/front desk experience.

  • You have great communications skills in English -  you are able to convey a clear message in a positive way both verbally and in writing.

  • You are able to perform well in a dynamic environment, identifying and focusing on key priorities while working efficiently.

  • You are able to remain flexible and adapt quickly in the face of changing priorities.

  • You have good people management and time management skills.

  • You pay attention to details and are proactive (if you see something wrong, you’ll fix it without waiting for instructions!).

  • You are an approachable and helpful person.

NICE TO HAVE

  • You have prior events management experience.

  • You have interests in sustainability and community engagement.
